Housing is available to groups utilizing multiple hotels. The service offered through the Austin Convention and Visitors Bureau is real-time, internet web based.

Commitment to utilize the Housing Bureau must be determined in the hotel contracting stage. There are no fees to the organization for standard housing services listed below.

Room Inventory

If additional rooms are needed during the booking process, the Austin Convention and Visitors Bureau will contact hotels to secure additional room blocks.

Deposits/Cancellations

Deposit requirements can be implemented based on direction received from client. Deposits will be accepted by check or by major credit card. The Austin Convention and Visitors Bureau will retain deposits until cut-off and then forward directly to the assigned hotels. Deposits are refundable for cancellations made prior to designated date. Deposits are non-refundable for cancellations made within 72 hours of arrival or as established in the hotel contracts.

Reservation Changes/Cancellations

All changes and cancellations made prior to or after cut-off date can be made through the Housing Bureau site. Housing system can stay live through day prior to arrival.

Reservations Requests Following Cut-off Date

After the hotel cut-off date, contracted hotels will be contacted and asked to continue to honor room reservations at either the contracted rate or at a new rate. Additionally, the hotels can add inventory to the original block.

Reporting

Room Pick Up Report: This report provides the number of rooms committed, sold and available at each hotel and a total recap of all hotels in the block.

Rooming List Report: This report shows a listing of everyone who has a reservation. The report can be run alphabetically or by hotel.

History/Pace Report: This report will show the reservation activity pace of new, modified and cancelled reservations.
