Job Title: Convention Services Coordinator

We have an immediate opening for a customer-service oriented individual with excellent communication skills, strong office/clerical skills, and a general knowledge of Austin and the hospitality industry. This full time, non-exempt, hourly position serves as support to the Convention Services department.

Skills & Qualifications

Qualified individuals should possess a high standard of organizational and communication skills and a proven ability to take direction and work well under pressure. Desired experience includes customer service, strong written and verbal communication, and a variety of clerical tasks. Important personal traits are the ability to take initiative and work with little supervision, to manage multiple tasks and projects, to meet deadlines, and to learn quickly.

Requirements for Consideration

  • Computer expertise with proficiency in Microsoft Office Suite, Adobe, Publisher, Canva, Google Workspace.
  • High school diploma or the equivalent of 4 years of office experience (college courses may substitute).

Job Title: Events Specialist
Department: Convention Sales

Summary of Position and Duties

  • The Event Specialist would be responsible for the CVB’s presence at all trade shows. Responsibilities include completing and submitting event PO’s, managing and reconciling approved budgets for all trade shows, trade show registration, booth design and overall appeal.
  • Manage team and partner attendance for tradeshows, order and ship materials.
  • Plans and executes client Familiarization (FAM) trips to Austin. These are two to three day VIP meetings. Responsibilities include securing airfare, ground transportation, overnight accommodations, meeting venue, meals, networking and unique VIP Austin experiences.
  • Maintains timelines and priorities of projects and communicates status to appropriate project owners
  • Liaison with marketing department for all tradeshows and FAM’s to streamline the requests and communication process
  • Responsible for establishing and/or maintaining budgets, including completing and submitting event PO’s
  • May travel locally and domestically for sites visits, special projects or for on-site production
  • Source and negotiate with vendors and suppliers
  • Analyze events success and provide post event recap/reports to supervisors (attendance, final expenses, final revenue, donated services, etc.)
  • Continual communication between supervisor and project owners as to the status of each event
  • Assist leadership with special projects and programs as requested
  • Performs other projects as assigned

Key Qualifications and Skill Requirements

  • Solid knowledge of Austin and ability to confidently promote the city
  • Ability to work collaboratively
  • Ability to prioritize and manage multiple responsibilities simultaneously
  • Experience managing 15+ events per year
  • Proven ability to take direction and work well under pressure, learn quickly, take initiative, work with little supervision, and manage multiple tasks and deadlines.
  • The ability to anticipate and provide problem solving solutions.
  • Efficient and proven organizational skills; detail oriented
  • Proficient in technology, including Microsoft Office Suite, Google Suite, and Event registration technology as well as database management experience
  • Reliable, dependable, flexible, and responsive; ability to work outside of normal work schedule as needed/directed
