Executive Assistant

Summary of Position and Duties:

We have an immediate opening for a detail-oriented individual with excellent communication skills, and strong office/clerical skills. This full time, exempt, salaried position serves as support to the Chief Executive Officer (CEO).

Qualified individuals should possess a high standard of organizational and communication skills and a proven ability to take direction and work well under pressure. Desired experience includes customer service, strong written and verbal communication, and a variety of clerical tasks. Important personal traits are the ability to take initiative and work with little supervision, to manage multiple tasks and projects, to meet deadlines, and to learn quickly.

This person should be comfortable with both verbal and written communication with public officials, board members and community partners. The ability to work independently both remote from home and in the office. Some ongoing responsibilities include setting up in person and virtual meetings, creating reports, booking travel arrangements, working on expense reports and maintaining files while scheduling, planning and organizing various board meetings each quarter.

 Key Qualifications and Skill Requirements:

Computer expertise with proficiency in Microsoft Office Suite, Google Workspace, Outlook, and Board Portals. Ability to work independently, prioritize work, understand and follow complex oral and written instructions, keep complex records, prepare reports, and represent supervisor in a professional manner.

High school diploma or the equivalent and 2-3 years of office experience (college courses may substitute).

Sales Coordinator

Visit Austin has an immediate opening for a customer service-oriented individual with excellent communication skills, efficient office/clerical skills, and a general knowledge of Austin and the hospitality industry. This is a non-exempt, hourly position, serving as assistant to our convention sales managers, responding to incoming inquiries and assisting with leads.

Key Qualifications and Skill Sets Required:

  • Customer service experience; strong verbal and written communication skills.
  • Important personal traits are the ability to learn quickly, take initiative, work with little supervision, and manage multiple tasks/deadlines in a fast-paced environment.
  • Expertise in Microsoft Office Suite, Google Suite, and CRM Database Software.
  • Goal driven and solutions-based thinking towards problem solving.
  • High School diploma or equivalent and 4 years office experience required (college courses may substitute). Knowledge of the hospitality industry is preferred.

Sales Manager, Sports & Diversity Accounts

Summary of Position and Duties:

  • Must achieve sales booking goals as expected by organization.
  • Fully qualify potential clients to produce a lead for our industry partners. Disseminate sports and meeting requirements through sending clear and concise leads to the hospitality community. Must be very proactive in your recruitments of new or existing events to Austin.
  • Be knowledgeable of our computer system and software packages and use the technology effectively by putting all account information in the sales automation system.
  • Handle group inquiries assigned in your markets. Hotel rooms could range from ten rooms peak and up.
  • Represent Visit Austin to multiple sports and diversity professional organizations and venues to ensure valuable partnerships and network for new business.
  • Develop and maintain strong working relationships with peers in the entire Austin metro/regional hotel & sports facility community- all brands and types.
  • Learn and understand the State of Texas Event Trust Fund process through the Office of the Governor.
  • Maintain close and trusted relationships with customers by following up promptly.
  • Coordinate client site visits to Austin when applicable. This may include securing hotel accommodations and developing quality itinerary that covers what is important to the client’s decision. Evening and weekend entertaining required.
  • Keep leadership updated and informed of client development activities.
  • Be an active participant in all appropriate meetings (Staff, Sales, ACC Joint Meeting, ASC Board Meetings, etc.)
  • Continue to take advantage of training opportunities when possible.
  • Manage time to take advantage of prime selling time. Be a positive force in the office by working on special projects.
  • Have a good knowledge of Austin as a destination and all that it has to offer clients.
  • Always present yourself in a mature, professional manner when at work or at functions representing the organization. Maintain a professional appearance while representing Visit Austin & the Austin Sports Commission.
  • Lead the Austin Sports Commission internship program for Fall, Summer & Spring semesters.
  • Help coordinate and successfully operate the ‘Thanks FORE Giving’ golf tournament to raise money for the Austin Sports Commission & the Visit Austin Foundation.
  • Have a good understanding of sport event operations, and what is required to operate a successful event.
  • Have a good understanding of all policies and procedures of Visit Austin and follow them as appropriate. Complete all special projects as assigned in a timely manner.
  • Perform other duties as required.

Key Qualifications and Skill Requirements:

  • Candidates should have at least 1-2 year of sales experience in the sports and/or hospitality industry
  • Must possess excellent customer service and oral and written communication skills, prospecting abilities, and computer competency.
  • Self-motivation, attention to detail and follow up are critical personal characteristics.
  • Goal driven and solutions-based thinking towards problem solving.

Visitor Center Retail Manager

Summary of Position and Duties:

Assist Director and Assistant Director with day-to-day operations.

Production and Revenue

  • Execute marketing strategies put in place to increase revenue.
  • Manage the highest level of customer service to visitors and customers in person or by phone at all times
  • Provide support in all aspects of retail procedures; including POS data, receiving, merchandising and inventory controls.
  • As Assistant Buyer, research merchandise and development of Austin products. Make recommendations to the Visitor Services Director.
  • Responsible for managing tour tickets and reservations for all tours.

Budget and Accounting

  • Manage appropriate cash controls, i.e. receipts and reconciliation of sales receipts.
  • Responsible for opening and closing procedures.
  • Submit quarterly consignment sales check requests as needed.

Program Development

  • Execute all aspects of the online store and develop a program using social media marketing for the Austin Visitor Center.
  • Manage Amenity gifts for hotel and Visit Austin clients

Other Responsibilities

  • Have a good understanding of all policies and procedures of Visit Austin and follow them as appropriate.
  • On weekends assigned, manage weekend Visitor Center staff
  • Represent the Visitor Center in the community as required.
  • Perform other duties as assigned.

Key Qualifications and Skill Requirements

  • Qualified individuals should possess retail buying and merchandising experience.
  • Management experience.
  • Customer service, retail and cash-handling experience.
  • Capability to assist in planning, directing, and evaluating, using manpower, time, funds, and other resources for the accomplishment of long term and short term goals.
  • Establish and maintain effective work relationships with staff, clients, and public
  • Familiarity of Austin and local businesses
  • Ability to organize work effectively, conceptualize and prioritize objectives and exercise judgment based on an understanding of organizational policies and activities.
  • Ability to communicate effectively orally, by phone, in person, and in writing.
